Privacy Policy
Who we are
RMR Fleet (“the app”) is a fleet-management platform operated by Renting My Ride, Houston, TX (“we”, “us”). It is used by fleet operators and the people they work with — staff, vehicle investors, and partner repair shops. Accounts are created by a fleet operator for their team; there is no public self-signup.
Information we collect
- Account information: name, username, email address, role, and a securely hashed password.
- Fleet and business data entered by your organization: vehicles (including VIN and license plate), reservations and guest first names, expenses, invoices, maintenance records, photos of vehicles, and payout/ledger records.
- Vehicle location data: GPS positions of fleet vehicles equipped with telematics devices. This tracks vehicles, not the personal location of app users’ phones — the app does not request your device’s location.
- Notifications: a push token for your device, if you enable notifications.
- Usage basics: login timestamps and standard server logs (IP address, browser type) for security.
How we use it
Solely to run the platform for your organization: showing your fleet’s data to authorized members, computing earnings and payouts, tracking maintenance, sending the notifications you enable, and keeping accounts secure. We do not sell personal information, and we do not use it for advertising.
Service providers
Data is processed by a small set of providers under contract, only as needed to operate the app:
- Railway (application and database hosting)
- Anthropic (AI processing of guest-message drafts and document text, when your organization enables those features)
- Google Firebase / web-push services (delivery of notifications you enable)
- Zoho (transactional email and e-signature, when enabled)
- Intuit QuickBooks (bookkeeping sync, only if your organization connects its own QuickBooks account)
Data isolation
Each organization’s data is isolated at the database level. Members of one organization cannot access another organization’s data. Within an organization, role-based access limits what each member sees (for example, investors see only their own vehicles and earnings).
Retention & deletion
Data is kept while your organization uses the platform. You can delete your own account in Settings → Delete my account, which permanently removes your personal details (name, email, username) and disables the account. Financial records your organization is legally required to keep (e.g., payment history for tax reporting) are retained in anonymized form. You can also request deletion by emailing us at the address below.
Security
All traffic is encrypted in transit (HTTPS). Passwords are stored as bcrypt hashes. Sessions are signed and revoked on password change. Access to production systems is restricted.
Children
The app is a business tool and is not directed to children under 13. We do not knowingly collect data from children.
Changes
If this policy changes materially, we will update this page and note the new effective date above.
